How to do (client)

  1. Inform the agency
    1. Call or email the agency with ALL the details you’ve had through so far. Job breakdown, submission source, etc. Make sure to include any details of pay
  2. Establish contact between ACT and production
    1. Pass any contact details, and their job title, on to ACT at the same time. It is then the AOTD’s job to contact the production.
  3. Were there any contracts or have any terms been negotiated?
    1. Make sure to pass on any contracts or terms to ACT. You should NOT been negotiating terms with production: that is now ACT’s job. 

How to do (agency)

  1. TagMin 
    1. As this is a straight offer, scroll down to ‘Offers’ and click the ‘+’ sign and all info manually. 
    2. Set Offer Date to the date the offer was received 
    3. Click the red ‘Transfer Offer Into a Job’ button. 
    4. Scroll up to ‘Agency Comments’ and log how you received the offer, who it came from and any responses or conversations you have had regarding it. 
  2. Establish contact with production
    1. Get details from client on who their contact at production was
    2. Email said contact and let them know that ACT will be handling all communication from now
    3. Ask the contact when we can expect a contract
    4. Set a rolling task for the next day to ask for a contract daily until we have one. 
  3. Were there any contracts or is there a negotiation? 
    1. If there were contracts attached or fees quoted at this stage, follow our what to do with a contract guide. 
    2. If there are dates being discussed that seem different to the original plan and that might affect the fee, this is a good time to forward this on to the contracts and negotiations team for them to help formulate the best response. 
  4. Weekly Journal  
    1. Record any conversation with the contact (phone call or email from casting director/production company) in relevant section of WJ, starting with date of contact, your initials, the client initials, who the contact is and what it’s about. 
    2. Please put the job under the ‘Work’ heading with the date of the engagement first, followed by the client initials and the name of the job.
